A company memory that never retires

Quotes, invoices, personnel files, and the experience of the people who handle them. paless keeps both safe: one shared vault on European servers where documents file themselves, and Pal, the EU sovereign AI assistant, who answers from everything your company knows.

Sound familiar?

Filed everywhere, found nowhere

Invoices in inboxes, delivery notes in binders, contracts on someone's drive. Every search is a small expedition, and the original is always somewhere else.

The answer is a person

Which supplier to call, why the old price still applies, how to fill in the customs form: it all lives in the heads of a few experienced people. When they are on vacation, work waits. When they retire, it walks out the door.

Admin after hours

Sorting, renaming, forwarding, retyping: the paperwork nobody was hired for gets done when the real work is finished.

Knowledge base

Experience retires. Knowledge shouldn't.

Across Europe, the most experienced generation of workers is heading into retirement, and in a small company, what they know is the company: the supplier who bends a deadline for you, the machine that needs time to warm up, the exception that became the rule. paless turns that into knowledge your whole team can search and ask.

Your archive already knows a lot

Import thirty years of contracts, manuals and correspondence and they become a searchable company memory on day one. OCR makes even the oldest scans readable and askable.

An intelligent editor for handovers

Write guides, checklists and handover notes in the editor built into paless, with Pal helping to draft and structure. They live next to the documents they explain: versioned, searchable, on EU servers.

New people get old answers

A new colleague asks Pal instead of interrupting three busy people, and gets the answer with its source cited, whether that is a contract clause or the checklist a retiring foreman wrote down.

Ask Pal

“How do we handle returns from Meunier & Fils?”

Credit note within 14 days, pickup by our own carrier; special terms apply since 2021. The exact steps are in the returns checklist.

Day to day

The paperwork, handled

Six everyday jobs Pal quietly takes over, so the afternoons go back to the actual business.

Email it, scan it, sync it

Invoices arrive by email, delivery notes from the warehouse phone, old folders from your cloud. Everything lands in one vault, sorted on arrival.

Documents that file themselves

Pal reads what arrives and suggests tags and names. Once it learns your patterns, similar documents file themselves.

Paper becomes data

Text, tables, charts, even formulas: OCR reads what's printed, so the 2009 binder becomes searchable, structured and askable.

Find the clause, not the file

Full text search reads inside every document: notice periods, warranty terms, the one delivery date. Seconds, not drawers.

Replies, already drafted

Pal drafts emails and fills forms, even scanned ones, from what is in your archive. Nothing goes out without your approval.

A link, not your data

Your accountant gets this quarter's receipts through a link that expires on schedule, or their own login that sees only what you choose.

Three moments it pays for itself

The audit

The auditor asks for 2019

Every invoice, bank statement and contract from that year is one search away. Share the lot through an expiring link and get back to work.

FY 2019 · 1,204 documents · one link

The breakdown

The machine stops at 7 a.m.

Service contract, maintenance manual and the technician's number, all on the workshop phone in seconds instead of a cabinet in the office.

SLA §4 · response time: 4 h

The repeat order

The quote from three years ago

The customer wants the same again. Find the old quote, ask Pal what has changed since, and send the new offer before lunch.

Built for Europe

Your business stays under European law

paless runs on isolated European infrastructure: no Big Tech, no US CLOUD Act. Files are encrypted with AES 256 at rest and TLS 1.3 in transit, stored as three replicas across separate European data centers plus one isolated backup. And if you ever want to leave, a structured export compatible with the open source paperless-ngx project means you are never locked in.

Questions businesses ask

Do we need our own IT to run paless?

No. paless is fully managed: your company gets its own secure domain like yourname.paless.eu, updates and backups are handled for you, and your team signs in without passwords, using passkeys or a YubiKey. There is no server to run.

Can our accountant or lawyer work in paless too?

Yes. Share exactly the documents they need through links that expire on schedule, or give them their own login that sees only what you choose. Either way, the annual accounts never travel as email attachments.

What happens to our documents if we leave?

They stay yours. Your archive exports in a structured format compatible with the open source paperless-ngx project, so you can take everything with you. Leaving without friction is a design decision.

Is paless GDPR compliant?

Yes. paless is GDPR and EU AI Act compliant, hosted on isolated European infrastructure with AES 256 encryption, out of reach of the US CLOUD Act. Processing stays under European law.
